Privacy Policy
Last updated October 24, 2026.
This policy explains what ReportDraft collects, why, who processes it for us, where it is kept, and the choices you have. It applies to reportdraft.com and to the ReportDraft app.
What we collect
- Account details: your email address and name, and the company details you add (name, address, phone, website, brand color).
- Your work: the notes, entries, photos, reports and documents you create, and details you type into them about your clients, properties, sites or matters.
- License details you give when buying a plan for licensed professionals (your professional body, membership number and firm).
- Billing records from our payment processor: what you bought, when, and the last digits of your card. We never see or store your full card number.
- Usage and visits: which features are used and basic counts of page visits. Visits are counted by day; we keep the counts, not your network address. To limit abuse we keep a scrambled form of the address with some requests, such as sign-in attempts.
How we use it
To provide the service, keep accounts secure, send account, billing and reminder emails, answer your messages, and understand which features are used so we can improve them. We do not sell personal information, and we do not use it for advertising.
Who processes it for us
We use these providers to run ReportDraft. Each processes information on our behalf to provide its service.
| Provider | What it does for us | Where |
|---|---|---|
| Railway | Hosting: runs the service and stores the database, your files and backups | United States |
| Stripe | Payments and billing. Your card details go to Stripe, never to us | United States, and other countries where Stripe operates |
| Resend | Sends our emails (sign-in codes, receipts, reminders) | United States |
| Our document drafting provider | Turns the notes you submit into a draft document. Named in the data agreement we offer firms | United States |
| Cloudflare | Domain names and network delivery of our pages | Worldwide network |
Our document drafting provider uses the content we send it only to provide its service and to monitor for abuse, and keeps it for no more than 30 days unless the law requires longer. It does not use it to improve its own products.
Where your information is kept
Your information is stored and processed in the United States, including for our Canadian customers. Information kept in another country is subject to that country's laws and may be accessible to its courts, law enforcement and national security authorities.
How long we keep it
- Your reports, documents and account details: while your account is open, and deleted when you ask us to delete your account. Signed reports are kept unchanged so their fingerprint stays valid.
- Notes typed into our free preview by people who never sign up: 90 days.
- Sign-in codes: 7 days. Database backups: 14 days.
- Billing records: as long as tax and accounting law requires.
Cookies
We use one cookie to keep you signed in. We do not use advertising or tracking cookies.
Your choices and rights
You can download your reports at any time, correct your details in the app, and ask us for a copy of your information or to delete your account and data through the contact form on our help page (choose "Privacy request"). Depending on your state, you may have further rights to know, correct or delete your information; we honor these requests from any customer.
Children
ReportDraft is for professionals and businesses. It is not meant for children.
