Landlords and property managers
Notice of entry
The written notice a landlord gives before entering a tenant's unit: who will enter, the date and the time window, the purpose, how the notice was given, and the earliest lawful entry worked out from the place's notice period and delivery rules.
Rental inspection
A room-by-room record of a rental unit's condition at move-in, move-out or a routine visit, signed by landlord and tenant, that protects both sides when the deposit is settled.
Security deposit statement
The written statement a landlord sends after a tenant moves out: the deposit held, each deduction with what it is for, why it is charged and what supports it, the total kept, and the refund due or the balance still owed, sent within the deadline the place sets.
Construction
Change order
The signed agreement to change the work during a project: what is added, removed or changed and why, each cost with the credits, the change in contract time, and the contract sum before and after, worked out to the cent.
Daily construction report
A same-day record of what happened on site: crews and hours, work completed, equipment, deliveries, inspections, safety, weather and delays. The record owners, lenders and claims rely on later.
Punch list
The list of work still to finish or fix before a project is closed out: every item by area and trade, who is responsible, the due date, and the next walkthrough, from the notes taken on the walk.
Site safety inspection
A walk-through record of a construction site: fall protection, scaffolds, ladders, trenches, power, equipment, fire and PPE, every hazard with how serious it is, who fixes it and by when, and what happened to items from the last inspection.
SWPPP inspection
A construction stormwater inspection record: the erosion and sediment controls, pollution prevention controls and discharge points checked, the rain that triggered the visit, any discharge seen, and every problem with the maintenance or corrective action it needs.
Toolbox talk
The record of a short safety talk given to a crew: the topic and why it matters on this site, the key points, the hazards and controls discussed, questions and follow-ups, and who attended, ready for each worker to sign.
Home and property inspectors
Home inspection
A visual, non-invasive review of a home's major systems and components, with each item rated and every defect paired with a clear recommendation.
Roof inspection
A record of a roof's condition: covering type and age, how it was inspected, covering, flashing, penetrations, decking, ventilation and drainage, every problem with how urgent it is and who should fix it, and the inspector's estimate of remaining life when one is given.
Safety and workplace management
Fire extinguisher inspection
A record of each portable fire extinguisher checked: where it is, its type and size, its gauge, seal, condition and tag, what was serviced or replaced, and when the next annual maintenance and hydrostatic test are due.
Forklift daily inspection
A pre-shift record for one forklift or other powered industrial truck: the visual walk-around and the operating checks, every defect with whether the truck must come out of service, who it was reported to, and what was repaired.
Incident report
A factual record of a workplace incident: when and where it happened, who was involved, what they were doing, how it happened, the injury or damage and the treatment given, what was done right away, the causes found, and the corrective actions with owners and due dates.
Driver vehicle inspection
The driver's written record of a vehicle inspection: the vehicle and trailer identified, every part and accessory checked, each defect that could affect safe operation or cause a breakdown, the driver's signature, and the repair certification and next driver's review.
Workplace safety inspection
A walk-through record of workplace hazards: what was checked in each area, every hazard with how serious it is, the corrective action, who is responsible and by when, and what happened to items from the last inspection.
Field service trades
HVAC service report
A clear record of each service call: the equipment, what the customer reported, what was checked with the readings taken, what was repaired or replaced, refrigerant handled, safety problems found, and what still needs doing.
Pest control service report
A clear record of each pest service: the pests targeted, what was found, every product applied with its registration number, amount and where it went, the precautions given to the customer, devices checked, conditions that invite pests, and the next visit.
Real estate agents and brokers
Lead-based paint disclosure
The federal disclosure for selling or leasing a home built before 1978: the Lead Warning Statement in the prescribed words, what the seller or landlord knows about lead-based paint and hazards, the records provided, the buyer's or tenant's acknowledgments, the agent's statement and everyone's signatures.
Seller's disclosure
The seller's written disclosure of what they know about the condition of the home they are selling: its items and systems, known defects, conditions such as termites or flooding, repairs needed and other matters, answered item by item and signed, on the form the state's law prescribes.
