The service record

For every job, record the property owner or agent and their address, your permittee name and address, the type of work, and the date. When a pesticide is used, add its name, the amount, the site, the common names of the pests and the date of application. Keep records a year, and pesticide use records a year past the last treatment or the contract's expiration.

Subterranean termite contracts

Before termite work, sign a written contract of at least one year with the structure's exact location, both parties, the dates, a foundation diagram that discloses any visible active or previous infestation, reinspection and renewal terms and the total price. At the top of the front page, in bold boxed letters, it states whether it covers retreatment only or retreatment and repair.

The monthly termite report

By the 10th of every month, complete a report of the previous month's subterranean termite work with owners' full names, addresses and treatment dates, or a report saying no work was done. File it at each responsible office under "Termite Reports for the Commissioner" and keep it three years.

Vehicles, labels and real estate inspections

Mark every work vehicle with your permittee name in letters at least three inches high. Use only registered products, by the label. Inspections for a sale, financing or refinancing go on the Official Alabama Wood Infestation Inspection Report form, and finished material is not probed without the owner's approval.

From the truck to a finished Alabama record

Note the type of service, each product and how much went down, where, and which pests. ReportDraft writes the Alabama service record and flags termite jobs that need the contract and the monthly report.

Common mistakes

  • No permittee address on the record.
  • Recording a product but not how much was used.
  • A termite contract without the boxed retreatment statement at the top.
  • Missing the monthly termite report, even in a month with no termite work.
  • Probing finished trim during a real estate inspection without the owner's approval.
